This policy explains how Tri Tones ("we", "us", "our") collects, uses and protects your personal information when you visit tritones.co.uk or contact us about a booking.

What information we collect

We collect information you give us directly, such as when you use our contact or enquiry form, email us, or call us. This may include:

Email address
Phone number
Details of your event (date, venue, type of event, requirements)
Any other information you choose to share with us in your message

We do not knowingly collect any special category data (such as health information) unless you choose to share it with us as part of an enquiry.

We use Google Analytics on this website, which may collect anonymised or pseudonymised technical information such as your browser type, device, and pages visited, to help us understand how the site is used.

How we use your information

We use your information to:

Respond to your enquiry and discuss your booking
Provide a quote and, if you go ahead, deliver the agreed performance
Keep records for accounting and tax purposes
Send you information you have specifically asked for

We do not sell your information to third parties, and we do not use it for marketing unless you have separately agreed to that.

Who we share your information with

We do not share your personal information with third parties except:

Where required to deliver your booking (for example, sharing relevant event details with other musicians performing alongside us)
Where required by law, for example to HMRC for tax purposes
With service providers who help us run our business (for example, email or accounting software), who are only permitted to use your data as we instruct

How long we keep your information

We keep enquiry and booking information for as long as reasonably necessary to deliver our services and meet our legal and accounting obligations, typically no longer than 7 years, after which it is securely deleted.

If you leave a written, voice or video message at tritones.co.uk/qr, we collect what you send, plus any optional details you give (first name, how you'd describe yourself, where you heard the music, your email).

We use it, with your consent, to share publicly on our website, on social media and in reports to funders, after reviewing and possibly shortening or trimming it. Nothing is published without being checked by us first. Only Tri Tones staff can see submissions until they're published. If your message mentions your health, we rely on your explicit consent to use it.

Tri Tones Music Limited (company number 13050171, ICO registration ZC217503) is the data controller.

We delete messages we decide not to use within 6 months. You can withdraw your consent at any time by emailing hello@tritones.co.uk with your reference code, and we'll remove your message from our own channels. We can't recall copies other people have already shared.

We don't store your IP address. When the QR code on our hospital boards is scanned, we record only the date, time and browser type, so we can count how many people use it.

Your rights

Under UK data protection law, you have the right to:

Ask for a copy of the personal information we hold about you
Ask us to correct inaccurate information
Ask us to delete your information, where applicable
Object to or restrict certain processing
Withdraw consent at any time, where processing is based on consent

This website uses a small number of cookies from third-party services embedded on the site:
